One of the most common questions we get at Rose Party Rentals is "What size tent do I need?" Whether you're planning a backyard birthday in Glendale Heights, a graduation party in Schaumburg, or a 200-guest wedding in Hoffman Estates, getting the tent size right is the difference between a comfortable event and a cramped one.

Here's the quick answer: plan for 10-12 square feet per person for a seated dinner, and 6-8 square feet per person for a standing cocktail event. But there's more to it than that.

Frame Tents vs. Canopy (Pole) Tents

At Rose Party Rentals, we offer two main tent styles, and the difference matters for your usable space and where you can set up.

Frame Tents

No center poles, maximum usable space. Frame tents are built on a self-supporting frame, so every square foot of the interior is open. They're the most flexible option and the right choice if you need a dance floor, buffet line, or large tables in the middle of the tent.

Frame tents can be installed on a wide variety of surfaces — grass, concrete, asphalt, patios, and parking lots — which makes them ideal for backyard, driveway, and commercial-lot events across the Chicagoland area.

Canopy Tents (Pole Tents / High-Peak Tents)

Classic peaked look, dramatic interior. Canopy tents use center poles and perimeter stakes to create the iconic high-peaked silhouette you see at outdoor weddings. The roofline is taller and more elegant, but the center poles do interfere with table layouts and dance floors.

Canopy tents can only be installed on grass surfaces because they require stakes driven deep into the ground. If your venue is concrete, asphalt, or a paved patio, you'll need a frame tent instead.

What Affects the Size You Need?

Guest count is just the starting point. Here's what bumps you up to a larger tent:

1. Tables and Chairs

Round tables take up significant floor space. A 60" round table (5 ft diameter) seats 8 people and uses about 100 square feet including chair and walking space. A 6 ft round seats 10 and uses about 120 square feet. Rectangular 8 ft banquet tables seat 8-10 and use roughly 80 square feet.

2. Dance Floor or Stage

Plan an extra 100-200 square feet for a dance floor depending on your crowd. We rent dance floors in standard sizes:

  • 9x9 dance floor — fits comfortably under a 20x20 tent
  • 12x12 dance floor — pairs well with 20x30 or 20x40 tents
  • 18x18 or 21x21 dance floor — designed for 30x60 and larger tents

If you're booking a DJ or band, add another 100 square feet for their setup. Need a stage? Our staging starts at 4'x4' and goes up to 4'x8' platforms.

3. Buffet, Catering, and Bar Stations

A buffet line needs about 100 square feet. A catering prep area needs another 100. Bar stations using our bars and dispensers run 50-75 square feet each. Cocktail tables (24x24 tall boys, 30" tall boys, or 36" pedestal tables) add a few square feet each.

4. Weather Contingency

This is a big one for Illinois events. Even if you plan some activities outside the tent, Chicagoland weather can push everyone under cover in minutes. We always recommend sizing up by 10-15% as a weather buffer.

Setup Requirements

Before we deliver, make sure your site is ready. Per Rose Party Rentals' policies:

  • Clear access route: minimum 3 feet wide for bounce houses, 4 feet for larger units. Tents need similar clearance for the frame components and stakes.
  • Flat ground: grass is best, concrete is acceptable for frame tents. Dirt or rocky soils are not acceptable and will be assessed a minimum $100 cleaning fee.
  • Adult onsite at delivery: someone must be there to sign for the equipment and direct where the tent goes.
  • Site clear: remove pet droppings, debris, and any objects that could damage the tent or interfere with setup.
  • Power for accessories only: the tent itself doesn't need power, but tent lighting, fans, or heaters require a standard 20-amp 110v outlet within 25 feet.

Weather and Rain Check Policy

Outdoor events in the Chicagoland area come with weather risk. Rose Party Rentals' policy is straightforward and customer-friendly:

  • If you cancel before our crew has loaded your order, the monies paid are held as a rain check valid for two years.
  • Once the crew departs the warehouse, full payment is required and the rain check window closes.
  • We prioritize crew safety: we will postpone setup in winds above 15 mph or heavy rain.
  • For days with a high chance of rain, the cancellation decision is yours — but the crew makes the final call if conditions become dangerous on site.

This is why we always recommend booking your tent as early as possible. Our availability changes daily, and we cannot hold items without a reservation.

Frequently Asked Questions

What size tent do I need for 50 guests?

For 50 seated guests at round tables, plan for a 20x40 frame tent (800 sq ft). For a cocktail-style standing event, a 20x20 tent (400 sq ft) is usually enough.

What size tent for 100 guests?

For 100 seated guests, you'll want at least a 20x40 to 30x40 tent. If you also need a dance floor and buffet, step up to a 30x60.

What size tent for 200 guests?

200 seated guests at round tables need approximately a 30x60 to 40x60 tent. With dance floor, head table, and buffet, plan for a 40x80.

How many square feet per person for a tent?

Plan for 10-12 sq ft per person for seated dinner, 6-8 sq ft per person for cocktail/standing, and 15-17 sq ft per person if you need space for a dance floor or buffet.

Do I need a tent for my outdoor event in Illinois?

Even with a clear forecast, a tent is highly recommended for outdoor events in the Chicagoland area. Weather changes fast, and a tent provides shade from sun, shelter from surprise rain, and protection from wind.

Can I set up a tent in my backyard?

Yes. Most of our tents work great in residential backyards. We just need flat ground (grass preferred) with proper clearance. Our team handles delivery, setup, and takedown. Contact us with your address and we'll confirm your space.

How far in advance should I book my tent?

As soon as possible. Rose Party Rentals' inventory moves quickly, especially during graduation and wedding season (May-September). Booking 6-8 weeks in advance is ideal; 3-4 weeks is the minimum we recommend for prime dates.
